Review response templates that still sound human

Sixteen copy-paste starting points for the replies you write most often, from five-star praise to suspected fakes, and the one edit that stops any of them sounding canned.

Sixteen copy-paste templates are below, grouped by the review you are answering. One rule makes all of them work: before you post, replace the placeholder with one specific detail from the review itself. That single edit is the difference between a reply and a form letter.

How do you keep a template from sounding like one?

  • Swap [Name] for their actual first name when the platform shows one.
  • Echo one concrete detail they mentioned: the dish, the staff member, the job, the wait. That is the sentence that proves a person read it.
  • Vary your openers. If your last five replies all start with thank you so much, start the sixth differently.
  • Keep it short. Two to four sentences reads as human; ten reads as a statement from legal.

Templates for a glowing 5-star review

  • Thanks so much, [Name]. Really glad the [detail they praised] hit the mark, and the team will love reading this. See you next time.
  • This made our morning, [Name]. [Staff member] will be especially pleased you noticed. Thanks for taking the time.
  • Thank you, [Name]! Regulars like you are the reason we open the doors. We appreciate you putting it in writing.

Template for a 5-star rating with no text

  • Thanks for the five stars, [Name]! If there was one thing we could do even better, we would genuinely love to hear it next visit.

Templates for a 4-star review with a small niggle

  • Thanks, [Name], glad the [main experience] worked well. You are right about [the niggle], and we are on it. Hope the next visit earns the fifth star.
  • We appreciate the honest review, [Name]. [The niggle] is fair, and it is something we are actively fixing. Thanks for flagging it kindly.

Templates for mixed, 3-star feedback

  • Thanks for the balanced review, [Name]. Glad [what worked] landed, and you are right that [what did not] was not up to scratch. We have genuinely taken it on board.
  • Thank you for taking the time, [Name]. Reviews like this are the most useful ones we get: specific, fair and fixable. [What did not work] is already on the list.

Templates for a 1- or 2-star complaint

These follow the four-part structure from how to respond to negative reviews: acknowledge, apologise, act, take it offline.

  • Hi [Name], I am sorry about [the specific problem]. That is not the experience we aim for, and we have [the concrete change] so it does not happen again. I would like to make it right if you are open to it: please ask for me directly, [your first name].
  • [Name], thank you for telling us, and I apologise for [the problem]. You should not have had to chase this. We have looked into what went wrong, and I would welcome the chance to sort it out properly: you can reach me at the venue any day this week.
  • I am sorry the wait was that long, [Name], and I understand the frustration. We have changed [the fix] for exactly this reason. If you give us another chance, I will make sure your next visit goes the way this one should have.

Template for a negative rating with no text

  • Hi [Name], I am sorry to see the one star. We would genuinely like to know what went wrong so we can fix it: you can reach us directly at the venue. And if this was meant for another business, no hard feelings either way.

Templates for a review you suspect is fake

Stay measured, and never accuse anyone of lying in public. If the review genuinely breaks the rules, report it to Google as well as replying.

  • Hi [Name], we take this seriously, but we cannot find any record of this visit. If you were a customer, please contact us directly so we can look into it properly. If this review was meant for another business, we would appreciate it being amended.
  • [Name], we have no booking or sale matching this account, so we believe there may be a mix-up, and we have asked Google to review it. If we are wrong, please get in touch and we will make it right.

Templates for the review you never answered

  • A very late thank-you, [Name]. We went back through our reviews and yours deserved a reply months ago. Appreciated then, appreciated now.
  • [Name], replying this late is on us. Your feedback about [the issue] did land: we have since [the change]. Thank you for it, and sorry for the silence.

Adapting one of these takes a minute per review. Keeping it up for every review at every location is the part Halo automates: a reply drafted in your voice for each new review, with a human one tap away on anything sensitive.
